AI
Thanks for calling Radiance Med Spa. I’m the spa’s AI assistant, and this call is recorded. How can I help?
-
Caller
Hi. How much is lip filler?
-
AI
Lip filler starts at $650 a syringe. New clients first see our nurse injector for a free consultation. Would you like one?
-
Caller
Maybe. Is it safe if I’m on blood thinners?
-
AI
That’s a medical question, so I’ve passed it to our nurse, who’ll call you back tomorrow. For the consultation, I have Thursday at 11:30 AM or Friday at 4:15 PM.
-
Caller
Thursday. It’s Dana Ruiz.

The phone rings when your hands are full.
That caller doesn’t leave a voicemail. She taps the next spa on Google, and you never learn her name.
-
Mid-treatment
Your injector is with a client and the front desk is checking someone out. The phone rings out.
-
After you close
The front desk went home at 7. At 7:15 voicemail picks up, and she hangs up.
-
On Saturday
Every room is full and one person is running the desk. Nobody can pick up.
Three calls your front desk couldn’t take.

- AI:
I don’t have that on my list, and I’d rather not guess. I’ll pass your question to the front desk, and they’ll call you when they open at 9 tomorrow. Can I take your name, and is this the best number?

It knows where its job ends.
It only says what you’ve approved. For anything else, it takes the details and gets them to you.
It answers
Every call, day or night. It books by your rules, quotes prices from the list you approve, and tells every caller it’s an AI on a recorded line.
It hands to you
Medical questions, signs of a complication, upset callers and anyone who asks for a person. If something isn’t on your list, it takes the details instead of guessing.
Booked before you open.
A booking goes straight into your calendar. Every call leaves the caller’s details, a summary and a recording in your own records.
Built in accounts you own.
Stop paying for a subscription receptionist and it’s gone. This one runs in accounts in your name, billed straight to you by the phone and AI providers, and keeps answering if we part ways.

Live in 14 days, or you don’t pay.
The clock starts at our kickoff call, once I have your price list, calendar rules and handoff number. If your front desk isn’t answering calls and booking appointments 14 days later, your build fee is refunded in full.
- Covered
- Calls answered and appointments booked.
- Not covered
- Texting, which waits on the phone carriers; revenue; and the running costs of the phone and AI accounts in your name.
Your 14 days
-
Day 0
Kickoff call, 45 minutes
We open your accounts in your name, on your card, and you approve what your front desk says.
-
Days 1 to 10
The build
It learns your services, prices and rules, and connects to your calendar.
-
Days 11 to 13
Twenty test calls
The awkward ones included, so you’re not the one testing it.
-
Day 14
Live, with a 30-minute walkthrough
Then thirty days of tuning on real calls.
It starts with thirty minutes.
A free phone call with me, with no slide deck. You leave with a count of the calls you’re missing, what they’re worth, and a straight answer on whether this is worth building.

- Calls missed a week
- from your call log
- × weeks in a year

Have your phone’s call log to hand if you can. If this won’t pay for itself, I’ll say so. If it will, you get a fixed quote.
The person who builds your front desk answers your email.
After six years at PwC and in operations for private equity and fintech firms, I build every front desk myself, and take on three a quarter at most. If you need a company with a support desk, a subscription service will suit you better.

-
Yes. It says so at the start of every call, and that the call is recorded. Some callers would work it out anyway. What matters is that they still get booked, and that anyone who wants a person reaches you.
-
It doesn’t guess. Before it goes live, you approve everything it can say: your services, your prices, your policies. For anything outside that list, it takes the caller’s details and gets the question to you.
-
It never gives medical advice. Side effects, reactions, whether a treatment is right for someone: those go to you or your nurse, by live transfer or urgent message, whichever you choose. Any sign of a complication is flagged as urgent.
-
It books into a real calendar with your real availability rules. How it connects to the booking software you use today, and whether it can also reschedule and cancel there, depends on that software. I confirm it for your setup on the review, before you pay anything.
-
Yes. Your existing number is forwarded, or you get a new local one, in an account that’s yours.
-
Two video calls: a 45-minute kickoff and a 30-minute walkthrough on day 14. Before the kickoff, send your services and prices in any format, your calendar rules, and one number for handoffs. At the kickoff you’ll need a card for the phone and AI accounts we open in your name.
-
Yes: it texts back anyone who hangs up, with a link to book. Texting needs the phone carriers to approve your number first, which takes a few weeks, so calls go live first and texts follow.
-
One fixed fee for the build, quoted on the review once I’ve seen your call volume, and an optional monthly care plan. The front desk runs without the care plan. You also pay the phone and AI providers directly for the accounts in your name, at cost, with no markup from me.
-
No. The build is yours outright, and the care plan has no minimum term. If we stop working together, your front desk keeps answering.
-
It collects what your front desk collects to book someone: a name, a number, the treatment they want. It doesn’t discuss anyone’s medical history. Calls are recorded, the AI says so at the start of each one, and the recordings sit in your account. If your practice needs a business associate agreement, tell me on the review, and I’ll confirm exactly what that takes for your setup before you pay anything.
-
That’s why it’s built this way. Everything lives in your accounts, not mine. If I disappeared tomorrow, your phone would keep being answered, and because it runs on standard tools in your own accounts, someone else could pick it up.
-
Spas that take fewer than about 100 calls a month. Below that, the numbers rarely work, and I’ll tell you so on the review. The free playbook is a better place to start.
